An agile approach to project management

Shared Services SA has commenced trialling a new and exciting approach towards project management.

The ‘agile’ methodology involves bringing together a self-managing team of subject matter experts who collectively have the skills to collaborate, design, build and test to deliver project outcomes incrementally.

Two teams of employees have been assembled to trial this approach and deliver four proof-of-concept projects within the payroll and finance areas:

CHRIS 21 project passes the halfway milestone

Rollout of the upgraded CHRIS 21 system has reached a major milestone with the project now more than 50% complete.

This upgrade of the SA Government’s main Human Resource Management System continues to progress on schedule, with 16 of the 30 legacy databases now successfully migrated.

Approximately 27,000 SA Government employees across 25 agencies are now being paid from CHRIS 21 on a fortnightly basis.

Financial Statements delivered

Shared Services SA has again successfully lodged 77 sets of Financial Statements with the Auditor General by the due date of 11 August.

This included the first set of statements from the newly-established Investment Attraction South Australia.

The statements are currently being audited by the Auditor-General’s Department prior to being published in its annual audit report.

New search capability for MyInvoice

Shared Services SA has enhanced the search capability of the online tool that allows SA Government vendors and suppliers to quickly check the status of their invoice payments, MyInvoice.

Following feedback from our customers, a new function has been added to MyInvoice to enable users to search by an EFT payment number.

Basware mobile application now live

Thousands of users across South Australian Government now have the added convenience of approving invoices within the e-Procurement Solution, Basware, via their mobile device.

The digital initiative went live for shared sector agencies on 20 May 2016 and across SA Health on 9 June 2016. Over 1,000 transactions have already been approved via a mobile device over that three week period.

The digital initiative will help support the public sector come even closer to achieving 100% of invoices paid within 30 days.

Digital purchase card management pilot underway

Shared Services SA is undertaking a pilot to replace paper based purchase card management with an Electronic Purchase Card Expense Management System (ANZ EMS).

The online platform gives users secure access to electronic coding, approval and document storage for their credit card transactions.

Over 26,000 employees on CHRIS 21

The rollout of upgraded Human Resource Management System, CHRIS 21, continues to progress on schedule with over 26,000 SA Government employees now using the system.

Automating financial statement preparation

The upcoming end of financial year statements will be prepared with a digital reporting tool that standardises processing within Shared Services SA Financial Services.

The delivery of the annual financial statements for agencies is a significant output of Financial Services that amalgamates a year’s work, requiring intense technical expertise and client engagement from July to the end of September each year.
